Phase 1 — What is happening? #
Pipe Bands Australia is transitioning to a new national membership and administration platform called TidyHQ.
This change marks an important step forward in modernising how we manage memberships, band administration, registrations, communications, and member services across Australia.
For many years, Pipe Bands Australia has relied on a legacy database system to manage national records. While this system has served the organisation well, it has increasingly become difficult to maintain, limits self-service functionality, and relies heavily on manual processes.
TidyHQ will provide a more modern, secure, and accessible experience for members, bands, branches, and national administrators alike.
Why Are We Moving to TidyHQ? #
The move to TidyHQ is designed to improve the experience for everyone involved in Pipe Bands Australia.
Benefits of the new system include:
Improved Member Self-Service #
Members will be able to securely access and manage their own details, reducing delays and ensuring information remains accurate.
Better Band Administration #
Band and branch administrators will have improved visibility of memberships, office bearers, renewals, and member activity.
Improved Accuracy of National Records #
By allowing members to update and confirm their own information, Pipe Bands Australia can maintain more accurate and up-to-date records.
A More Secure and Sustainable System #
TidyHQ provides a cloud-based platform that is accessible, secure, and less reliant on manual administration or legacy systems.
Improved Communication and Future Growth #
The platform creates opportunities for improved communications, online registrations, event management, certifications, and future member services.
What Does This Mean for Members? #
For most members, the transition will be straightforward.
At the appropriate time, members will receive an invitation to activate their TidyHQ account and confirm their details.
You may be asked to:
-
- Activate your account
- Confirm or update your personal information
- Review your membership details
- Confirm your band affiliation
- Complete membership renewal processes online
Pipe Bands Australia and your local band or branch will provide guidance throughout the process.
You will not be expected to do everything immediately, and instructions will be provided as each stage of the rollout occurs.
What Is Staying the Same? #
While the system is changing, many things will remain familiar.
-
- Your Pipe Bands Australia membership remains unchanged
- Your band affiliation and competition participation continue as normal
- Existing branch and national governance arrangements remain in place
- Membership categories and certification structures continue to apply
This transition is about improving how information is managed — not changing the fundamentals of membership.
During the Transition Period #
As records are transferred from legacy systems, some members may notice information that requires updating or correction.
This is normal and expected during a national transition of this scale.
Members are encouraged to review their information carefully when invited to activate their account and notify their band or branch if something does not appear correct.
The move to TidyHQ provides an opportunity to improve the accuracy and consistency of national records for the future.
Need Help? #
Support materials, step-by-step guides, and frequently asked questions will be made available through this knowledge base as the rollout progresses.
If you experience difficulties, assistance will be available through your band, branch, or Pipe Bands Australia support channels.
